Job Description

Administrative Assistant Job Opening Small, growing engineering firm currently located in Roswell, but soon to relocate to Alphabetical/Cumming area, is looking to hire an Administrative Assistant.

Job Description:

The full time Administrative Assistant will work directly for the (2) owners and will oversee and manage all office procedures and other tasks as assigned by the owners. Salary is commensurate with experience.

Duties and Responsibilities
• Oversee all aspects of general office coordination
• Maintain confidentiality in all aspects of client, staff and customer information
• Coordinate the development of a new company website
• Interact with clients, vendors and occasional visitors
• Answer telephones and transfer to appropriate staff member
• Open, sort and distribute incoming correspondence, including faxes and mail
• Sign for and distribute UPS/FedEx or similarly delivered packages
• Prepare responses to correspondence containing routine inquiries
• Perform general clerical duties. QuickBooks experience a must.
• File and retrieve organizational documents, records and reports
• Create and modify documents such as invoices, reports, memos, letters, etc. using Microsoft products
• Make travel arrangements for staff
• Collect and maintain inventory of office equipment and supplies
• Research, price and purchase equipment and supplies as required
• Support staff in assigned project based work
• Assist with overall maintenance of the organization and its offices
• Trips to the post office, local notary, NDA drop boxes, etc. is required
• Trips to local miscellaneous locations is required (lunch purchases, office supply stores, etc.)
• Manage Christmas cards and other mailings
• Sort, document, and prepare owner expense reports

Knowledge, Skills and Abilities
1. Exceptionally detail oriented, this is critical!
2. Ability to follow instructions and learn specific ways of doing certain tasks
3. Multi-tasking skills a must
4. Good writing, analytical and problem solving skills
5. Knowledge of principles and practices of organization, planning, records management and general administration
6. Ability to communicate effectively
7. Ability to operate standard office equipment, including but not limited to, Windows 7 computers, telephone systems, calculators, copiers and facsimile machines
8. Ability to follow oral and written instructions

Minimum Qualifications
• A great attitude!
• At least three (3) years of experience in general office responsibilities and procedures
• Must be computer literate
• Knowledge of principles and practices of basic office management and organization
• Knowledge of the basic principles and practices of bookkeeping
• Ability to work well either alone or as part of a team
